1. Booking & payment

A booking is confirmed once the required deposit has been received. The deposit amount will be specified at the time of booking and is payable per person.
The remaining balance must be paid by the date stated at booking (typically 6 weeks before departure). Failure to pay by the due date may result in cancellation of the booking and loss of deposit.

2. Pricing

All prices are per person unless otherwise stated. Prices are based on shared accommodation unless a single room supplement is selected.

Prices include only the services listed on the trip description. Any items not explicitly stated are excluded.

3. Cancellations by you

If you cancel your booking, the following charges apply:

  • Deposit is non-refundable

  • 60 days or more before departure: remaining balance refunded

  • 35–59 days before departure: 50% of remaining balance refunded

  • Fewer than 35 days before departure: no refund

All cancellations must be made in writing.

Bookings may be transferred to another person with prior approval and at no additional cost, provided arrangements are made in advance.

4. Cancellations by us

We reserve the right to cancel a trip if minimum participant numbers are not met or due to circumstances beyond our control (including but not limited to safety concerns, severe weather, or operational disruption).

In the event of cancellation by us, all payments received will be refunded in full. We are not responsible for additional costs incurred by participants, including travel or insurance costs.

5. Changes to itinerary

We reserve the right to make necessary changes to the itinerary, including but not limited to accommodation, route, attractions or daily schedule, where required for safety, operational reasons, or availability.

Any significant changes will be communicated as soon as reasonably possible. Equivalent alternatives will be provided where possible.

6. Participant requirements

By booking, participants confirm that:

  • They have an appropriate level of cycling ability for the itinerary

  • They will complete a medical declaration form prior to departure and disclose any relevant medical conditions that may affect their ability to safely participate

  • They will follow safety instructions provided during the trip

  • They will wear a cycle helmet conforming to to either EN1078 (European) or CPSC (US Consumer Product Safety Commission) Standards

A recommended kit list will be provided prior to departure. Participants are responsible for ensuring they are adequately equipped for the conditions of the trip.

We reserve the right to refuse participation or remove any individual whose behaviour, fitness, or ability is considered unsafe or disruptive to the group.

7. Insurance

All participants must have valid travel insurance that covers cycling activities, medical expenses, emergency evacuation, and trip cancellation.

It is recommended that you purchase suitable insurance on booking. Proof of insurance may be requested prior to departure.

8. Liability & risk

Participants acknowledge that cycling holidays involve inherent risks, including but not limited to accidents, injury, illness, and loss or damage to personal belongings.

Participation is at the individual’s own risk.

We accept responsibility for providing services with reasonable skill and care but are not liable for:

  • Injury or death unless caused by proven negligence

  • Loss or damage to personal belongings

  • Delays, disruption, or events outside our control

9. Participant conduct

Participants must behave responsibly and with consideration for others.

We reserve the right to terminate participation without refund if an individual’s behaviour is deemed unsafe, disruptive, or unlawful.

Any additional costs resulting from removal from the trip (including travel home) will be the participant’s responsibility.

10. Equipment & bicycle responsibility

If you hire a bicycle or any equipment through us, you are responsible for its care for the duration of the trip. You are expected to use and store the equipment responsibly, following any guidance provided during the trip.

You will be liable for the cost of repair or replacement in the event of loss, theft, or damage beyond normal use. Reasonable wear and tear from typical use will not be charged, as determined at our discretion.

The hire bicycles we use are high-quality and valuable pieces of equipment. Participants must take appropriate care, including securing bikes properly when not in use and following all instructions regarding storage and handling.

11. Bicycle damage deposit

A refundable bicycle damage deposit may be required for hired bicycles or equipment. The amount will be stated at the time of booking.

The deposit will be held as security against loss, theft, or damage.

After the trip, the deposit will be returned in full provided the equipment is returned in good condition, subject to normal wear and tear. Any deductions for repair or replacement costs will be itemised.

If damage or loss exceeds the deposit amount, the participant remains liable for the full cost of repair or replacement.

12. Photography and media

We may take photos and video during trips and use them for marketing, including on our website and social media.

By joining the trip, you agree that you may appear in group photos or videos unless you tell us before the trip that you do not want to be included. We will do our best to respect this, although it may not always be possible to avoid background appearances.

You may also be invited to share your own photos from the trip, which we may use with credit where appropriate.
